Field Doctor Ltd ("Field Doctor", "we", "us") provides personalised, health-focused prepared meals through our website, www.fielddoctor.co.uk. We care about your privacy, and this policy explains — in plain terms — what information we collect, why, what we do with it, how long we keep it, and the rights you have.

1. Who we are

We are the data controller for the personal information described in this policy. We are registered with the Information Commissioner's Office (ICO), registration number ZB327061.

We may update this policy from time to time. The date above shows when it last changed, and where a change is significant we'll take reasonable steps to bring it to your attention.

2. The information we collect

Information you give us

  • Account and order details — your name, email address, delivery address, and phone number.
  • Payment information — processed securely by our payment providers. We do not store full card details ourselves.
  • Health and dietary information you choose to give us — for example dietary needs, allergies, or medical conditions — when you use our quiz to get a personalised plan. This is special category data and we treat it with particular care; see section 4.
  • Anything you tell us when you contact customer service, respond to a survey, or leave a review.

Information we collect automatically

  • Details of your visits to our site — pages viewed, approximate location, device and browser information, and how you move through the site — collected through cookies and similar technologies. See section 8.
  • Details of the orders and transactions you make.

3. How we use your information, and our legal basis for doing so

Under data protection law we must have a valid legal basis for each way we use your information. Here is what we do and why we're allowed to.

Where we rely on legitimate interests, we've considered your rights and would not use your information in a way that overrides them. You can ask us for more detail on any of these.

4. Health information — how we handle special category data

Some of the information you give us — such as a diagnosed condition, a symptom you're managing, or a dietary need arising from a health issue — is special category data under UK GDPR. The law gives this information extra protection, and so do we.

We ask for your explicit consent before we use it. Before the quiz collects any health information, we show you a clear consent screen explaining what we're asking for and why, and you choose whether to give your consent. We only process your health information on the basis of that consent, and we keep a record of the consent you give.

We use it for one thing: to create and manage your personalised meal plan. We do not use your health information for marketing, and we do not use it to build a profile of you for any other purpose.

You can withdraw your consent at any time by contacting us at hello@fielddoctor.co.uk. Withdrawing consent is as easy as giving it. If you withdraw it, we'll stop using your health information and delete it, though this means we may no longer be able to provide a personalised plan. Withdrawing consent does not affect anything we did lawfully before you withdrew it.

Who sees it. Your health information is only handled by Field Doctor staff who need it to provide your plan, and by the trusted service providers who run the systems we use to deliver the service (see section 6). We never sell it, and we never share it with anyone for their own marketing.

A note on medical advice. If you have a diagnosed condition or take prescription medication, please speak to your GP before making significant changes to your diet. If you experience an adverse reaction, stop and seek medical advice.

5. How the quiz recommendation works

When you complete our quiz, we generate your meal recommendation automatically. We use the information you give us — your dietary needs, any health information you choose to share, and your preferences — to match you to the meals from our range that best suit you. No member of staff reviews your answers individually to produce the recommendation.

The recommendation is a suggestion. You're always free to ignore it and browse and order from our full menu yourself — the recommendation doesn't limit what you can buy or change the price you pay. If you'd like to understand how your recommendation was reached, or you'd prefer a person to talk it through with you, just contact us at hello@fielddoctor.co.uk.

6. Who we share your information with

We do not sell your personal information. We share it only with:

  • Service providers who help us run Field Doctor — including Shopify, which powers our online store and checkout, and other trusted providers who host our systems, process payments, fulfil and deliver your orders, send our emails, and provide our customer service and analytics tools. These providers act on our instructions and may only use your information to provide their service to us, under a contract that requires them to keep it secure.
  • Anyone you've asked us to share with, or where you've given permission — for example to display a review or photo you've submitted.
  • Authorities or advisers, where we're required to share information by law, or to establish, exercise or defend legal claims.

Advertising on other platforms. To show you — and people with similar interests — our ads, we share a securely hashed (scrambled) version of your email address with advertising platforms including Meta (Facebook and Instagram) and Google. These platforms match it against their own users to display our ads, and can create "similar audiences" of new people to reach. We never share your health information for this purpose. You can control this through your ad settings on those platforms, through your cookie choices, and by contacting us at hello@fielddoctor.co.uk.

7. Where your information is stored

We aim to keep your personal information within the UK or European Economic Area wherever possible. Where any of our providers process your information outside the UK, we make sure it's protected by an appropriate safeguard recognised under UK data protection law — such as the UK's adequacy regulations, the International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses.

We use appropriate technical and organisational measures to keep your information secure. No transmission of information over the internet can be guaranteed completely secure, but once we receive your information we use strict procedures and security features to protect it and prevent unauthorised access.

8. Cookies and similar technologies

Cookies are small files stored on your device that help our website work and help us understand how it's used. We use them to create your order and take you through checkout (these are essential — the site won't work without them), to remember your preferences, to recognise you when you return, and to understand how our site is used so we can improve it. Some cookies are set by trusted third parties who provide services on our site, such as analytics and advertising.

Managing cookies. You can manage or block cookies through your browser settings. Please keep in mind that blocking some cookies may affect how the site works.

9. How long we keep your information

We keep your information for as long as we need it to provide our service and to meet our legal and business obligations.

You can ask us to delete information we hold about you at any time (see section 10), and we'll do so unless we're required to keep it for a legal reason. When information reaches the end of its retention period, we securely delete or anonymise it.

10. Your rights

Under UK data protection law you have the right to:

  • be informed about how we use your information (this policy);
  • access a copy of the information we hold about you;
  • rectify information that is inaccurate or incomplete;
  • erase your information ("right to be forgotten") in certain circumstances;
  • restrict how we use your information in certain circumstances;
  • object to us using your information, including for direct marketing — you can object to marketing at any time;
  • data portability — receive certain information in a reusable format; and
  • withdraw consent at any time, where we rely on your consent.

How to exercise your rights. Just contact us at hello@fielddoctor.co.uk or write to us at the address in section 1. We'll respond within one month. There is no charge for making a request. We may ask you to confirm your identity first, and in some cases the law lets us take a little longer for complex requests — if so, we'll tell you.

To stop marketing emails you can also use the "unsubscribe" link in any marketing message, or update your preferences in your account.

11. Complaints

If you're unhappy with how we've handled your personal information, please tell us first — contact us at hello@fielddoctor.co.uk and we'll do our best to put it right. We'll acknowledge your complaint within 30 days and respond as quickly as we can.

We'd appreciate the chance to resolve things before you approach any relevant regulators, but you're entitled to contact them at any time.
